What is a system of record?
A system of record is the authoritative source for a type of business data, such as customers, deals or invoices, that other systems and reports defer to. The CRM is usually the system of record for accounts and opportunities. The ERP or accounting system usually holds invoices, revenue and backlog. When two systems disagree, the system of record wins.
Why it matters to a revenue leader
AI tools read from systems of record, and more of them now write back. If the CRM is the system of record for pipeline but sellers keep the real status in spreadsheets, every AI summary and forecast starts from a wrong base. After an add-on acquisition, a services platform may run two CRMs and three field service systems for a while, and the revenue leader needs a clear answer on which one counts for bookings, renewals and backlog. That answer decides what the board sees.
Example
Fictitious numbersA fire and life safety company with 16 sellers tracks deficiency quotes in its field service software and new service agreements in its CRM. Leadership names the field service system as the system of record for repair quotes and the CRM as the system of record for agreements. AI summaries and pipeline reports then pull each number from one agreed source, and the debate over whose report is right ends.
"For each number in our board pack, which system is the system of record, and does everyone on the team agree?"
