What is a knowledge base?
A knowledge base is the documents and data an AI system is allowed to search and draw on when it answers a question or does a task. It can hold price books, agreement templates, past proposals and CRM records. When someone asks a question, the system searches the knowledge base, pulls the relevant passages and uses them to write the answer, often with citations to the source file.
Why it matters to a revenue leader
An AI system answers only as well as what it can reach. If the knowledge base holds last year's price book or three versions of the inspection agreement, the answers will be confident and out of date. In a PE-backed platform built through add-ons, each acquired company often brings its own folders and templates, so deciding which documents are the current standard is a commercial decision before it is a technical one. The revenue leader should own what goes in, because that content becomes what the team hears from the AI.
Example
A mechanical services company with 18 sellers loads its scope templates, labor rates and renewal terms into a knowledge base for an AI assistant. A seller asks which escalator applies to a three-year preventive maintenance agreement. The assistant answers from the current terms document and cites it, so the seller can check the source before quoting the customer.
"Who owns the content in our AI knowledge base, and when was each pricing and terms document last confirmed as current?"
