Webhooks · Zapier

Connect any of 5,000+ apps via Zapier.

About ten minutes. If you can't find your tool in the Management OS webhook guides, Zapier almost certainly has it. You'll set up a Zap that listens to your other tool and forwards events into Management OS.

Step 1 — Get your Management OS webhook URL

  1. Sign in to Management OS → Settings → Webhooks
  2. Click New webhook key, label it with the source app you're wiring up (e.g. "Zapier — HubSpot deals"), click Create
  3. Copy the URL

Step 2 — Create a new Zap

  1. Sign in to zapier.com
  2. Click Create Zap
  3. Trigger: search for and pick the app you want events from (e.g. HubSpot, Calendly, ClickUp, Airtable). Pick the specific event (e.g. "New Deal", "Meeting Scheduled")
  4. Connect your account when prompted and run the trigger test

Step 3 — Add the Management OS webhook action

  1. Click the + below your trigger to add an action
  2. Search for and pick Webhooks by Zapier
  3. Event: choose POST
  4. Click Continue

Step 4 — Configure the webhook action

  1. URL: paste your Management OS webhook URL
  2. Payload Type: select JSON
  3. Data: add the following fields (click + Add to add each row). For the values, click the Zapier field-picker icon to pull from your trigger data:
    • source → type literal text: your trigger app name in lowercase (e.g. hubspot, calendly)
    • event_type → describe the event (e.g. deal.created)
    • external_id → map to the trigger record's unique ID (Zapier shows this in the field-picker as ID or Record Id)
    • subject_email → the contact email on the record
    • subject_account → the company or account name
    • summary → a one-line description (you can write it using merge fields: "{{Deal Name}} closed for {{Amount}}")
  4. Leave all other fields at default (Wrap Request In Array = no, Unflatten = yes, Headers = blank)
  5. Click Continue

Step 5 — Test and turn on

  1. Click Test action — Zapier sends a test POST. You should see a 200 response with status: stored
  2. If the test succeeds, click Publish (top right) to turn the Zap on
  3. Trigger a real event in your source app and check Management OS Ask-Anything in 30-60 seconds

Where you'll see Zapier-bridged events

  • Ask Anything — query events by source name. Example: "What HubSpot deals were created last week?"
  • Weekly Brief — events feed the appropriate pillar based on source and event_type
  • Account Plans — when subject_email or subject_account matches a CRM record, the event auto-links to that account

Troubleshooting

Test fails with 401: Token in URL is wrong. Re-copy from Settings → Webhooks.

Test succeeds but events don't link to accounts: Make sure subject_email and subject_account are mapped to fields with real values, not blanks.

Zapier task usage: Each event Zapier processes counts as one task on your Zapier plan. For high-volume tools (every HubSpot contact update, every Calendly meeting), the cost adds up. Use Zapier filters upstream to send only the events that matter.
